Privacy policy

We build systems that handle other people's information, and we answer phones and process paperwork on behalf of our clients. It would be poor form to be vague about how we handle yours. This policy is written to be read, not to be survived.

Who this covers

This policy covers Ezeeland Business Solutions Limited, a company registered in New Zealand. It applies to this website and to the people we deal with as clients and prospective clients.

We handle personal information under the Privacy Act 2020. Where we work with Australian clients, we also work to the Australian Privacy Principles.

What we collect

  • What you send us directly: your name, business, email address, phone number and whatever you tell us about your business when you enquire or engage us.
  • What we gather while working with you: notes, documents and access details you provide so we can do the work.
  • Basic website information: pages visited and rough location, collected so we know whether the site is useful. We do not run advertising trackers on this site.

Why we collect it

To answer your enquiry, to quote and deliver work, to invoice, to meet our legal and tax obligations, and to stay in touch about work we are doing for you. We do not sell your information to anyone, and we do not add you to a marketing list because you contacted us once.

Your client data during a project

When we build a system for you, we may need access to information about your customers, patients or staff. That access is governed by our engagement agreement with you, not by this policy. In every engagement we set out in writing which data we can see, which we cannot, where it is stored and who on our team has access. You remain the holder of that information. We handle it on your instructions.

When we answer your calls or process your paperwork

Where we run a contact centre team or a back office team for you, our people handle information about your customers, clients or patients on your instructions. You remain the holder of that information. Before the team goes live we agree in writing which systems they can reach, which information they can see, which they can never see, where it is stored, and how it is destroyed when it is no longer needed.

Our agents work on locked-down machines. Personal devices, cameras and paper do not leave the floor. Where the work involves health information, our staff are trained to the standard that applies in your country before they take a single call.

Where information is stored

Our own business records are held with reputable service providers, which may store data in New Zealand, Australia or overseas. For work we build for you, the country your data lives in is your decision, agreed in writing before we build anything.

Where information is held or accessed outside New Zealand, we take reasonable steps to ensure comparable protection, as required by the Privacy Act 2020.

Who we share it with

Our own team, including our engineering team and the contact centre team on your account, all of whom are bound by confidentiality obligations and background checked. Our service providers for things like email, accounting and file storage. Anyone else only where you ask us to, or where the law requires it.

How long we keep it

For as long as we need it for the purpose we collected it, and for as long as the law requires us to keep business and tax records after that. When we no longer need it, we delete it.

Keeping it safe

Access is limited to the people who need it. Accounts use multi-factor authentication. Devices are encrypted. Nobody can promise perfect security, and we will not. If a privacy breach happens that is likely to cause serious harm, we will notify you and the Office of the Privacy Commissioner as the Privacy Act 2020 requires.

Your rights

You can ask us what personal information we hold about you, and ask us to correct it if it is wrong. Email us and we will respond within 20 working days, which is the timeframe the Privacy Act sets.

If you are not happy with how we have handled your information, tell us first and we will try to fix it. If that does not resolve it, you can complain to the Office of the Privacy Commissioner at privacy.org.nz.

Cookies

This site uses only what it needs to function and to count visits. It does not use advertising or cross-site tracking cookies. [Update this section if you add analytics or a booking widget, because most of them set cookies.]
